Accounting

Starting with version 3.1.0, Baza Booking Calendar includes a built-in Accounting module. It brings all financial transactions together in one place, no need for Excel or third-party services. The module automatically logs booking payments and client balance top-ups, while any other income or expense, such as salaries or one-off costs, can be added manually.

Summary panel

Above the records table, three key figures are shown for the selected period: Income, Expenses, and Profit. These numbers recalculate automatically with every added, edited, or deleted record, so the totals always reflect the current state.

Transactions table

Each row in the table is a separate financial transaction. The following columns are available:

  • ID — sequential record number
  • Name — the client the transaction is linked to
  • Type — Income or Expense, marked by color (green on the left for income, red for expenses)
  • Operation — the transaction type: Booking Pay and Topup balance are added automatically, while Salary, Operation, and others can be set manually
  • Amount
  • Method — a fixed payment method: Cash, Online Payment, or Balance Payment
  • Booking — the linked order ID, if the transaction came from a booking
  • Date — the date the transaction took place
  • Note — a free-text comment on the record

The table can be sorted by ID, name, type, operation, amount, and date, and it can also refresh automatically: a toggle switches on auto-refresh with a set interval. All the table data can be exported to CSV in one click, for example to hand over to an accountant or process further in Excel.

Automatic records

Some records are created by the module without any admin involvement:

  • Booking Pay — logged every time a client pays for a booking, automatically linked to the order ID
  • Topup balance — logged when a client tops up their balance through the payment system configured in the plugin’s general settings, separately from bookings, which is why the “Booking” column stays empty for these records
  • Balance deduction — logged when a client pays for a booking from their balance, linked to the order ID the same way as a regular Booking Pay record

This removes the need to manually transfer payments into the accounting records, every payment made through the calendar already lands in the report.

Adding a record manually

The add button opens the “Add record” form with the following fields:

  • Type — Income or Expense
  • Operation — choose from options already in the system or type your own
  • Amount
  • Payment date
  • Method — a fixed payment method: Cash, Online Payment, or Balance Payment
  • Name — pulls in existing clients by name
  • Booking ID — can be picked from existing orders once a client is selected, or entered manually

This makes it easy to log salaries, operating costs, or any income not directly tied to bookings.

Editing and deleting

Any record, including automatically created ones, can be opened for editing via the pencil icon, letting every field be changed, even the operation type and amount. The edit window has a separate “Delete record” link, and there’s also a trash icon right in the table row for quick deletion without opening the form.

Excluding a method from the totals

The module settings include an “Excluded payment methods” option: any method selected there is left out of the Income, Expenses, and Profit totals, and hidden from the table. By default, Balance Payment is excluded, since that money was already counted once, when the client topped up their balance in the first place. Counting it again at the moment of spending would double it.

Module access

The Accounting module is visible to administrators only. Managers have no access to this section, keeping financial data out of reach for staff with a limited role.
