Packages

A package is a prepaid amount of hours, sessions or money that a client buys once and uses over time. A studio can sell “10 hours” or “5 sessions” at a discount instead of billing every visit separately, and the client spends it down booking by booking.

Creating a package

Go to Packages in the admin menu, right after Services, and click Add package (or one of the ready-made starting points shown on an empty list).

  • What it contains – the unit (hours, sessions, or an amount of money) and how much of it
  • Where it works – any service, or only the ones you pick
  • Price – set a price or a discount percentage; either one fills in the other, and a summary line shows the per-hour rate and the saving
  • Valid for – how many days after it is granted the package can still be used, or no expiry
  • Limit days and hours (optional) – restrict the package to specific weekdays or a time window, for example off-peak hours only

A package only appears for clients once it is switched to On sale. Editing or deleting a package never changes what a client already holds – what they bought is their own copy.

Giving a package to a client

Open Our Clients and click a client to open their profile. A Packages section shows what they already hold and lets you give them a new one from the dropdown at the bottom.

Each package a client holds can be adjusted from there:

  • Adjust – add or remove an amount (for example 2 or -1), or change the expiry date
  • Freeze / Unfreeze – temporarily stop it from being used
  • Cancel package – end it; what is left cannot be used again

Giving and adjusting packages is a permission a Manager needs unlocked – see Settings below.

Paying a booking with a package

When a signed-in client chooses dates that a package they hold can pay for, a Pay with a package option appears in the booking form. Turning it on shows how much of the booking the package covers and what is left to pay – a package only pays for the time itself, never additional services or surcharges.

If a client holds more than one package that could pay for the booking, a small selector lets them choose which one to use.

If the booking is later cancelled or expires, whatever the package paid is given back automatically.

Buying a package

A client can buy a published package for themselves from the Packages tab of their account, using their account balance. The tab shows what they already hold and every package on sale, with a Buy from balance button next to each one; it is disabled if their balance does not cover the price. This needs the balance feature to be enabled on the site.

Settings

  • General Settings, Managers – “Give and adjust client packages” is off by default and needs to be switched on for a Manager to hand out or change packages; a full Administrator can always do this.

Every movement on a package – granted, used, returned, changed – is recorded in the client’s own activity history.

Packages is available on the Pro and Elite plans.
